  • VisitBase is the main product developed by, and supported by NHG Solutions

Personally Identifiable Information

We collect "personally identifiable information" (PII) in the following scenarios:

  • We will collect contact information and other information that You provide via survey responses, or a form on Our website, or via other direct communication means including, but not limited to, email, phone or Skype.  This information will be collected in relation to the reason that You provided the information to Us (e.g. enquiring about Our product and/or services, or requesting customer support).
  • We will collect contact information and other information that You provide, when You indicate via Our website, email, phone, Skype or other communication means that You wish to be part of Our mailing list.
  • When You access Our website, We may collect information such as IP addresses, geographic location, browser type and operating system type, in order to assist Us with monitoring Our website traffic and visitor statistics.
  • We may collect information that You exchange in discussion forums in relation to Our product or services, in order to assist Us in documenting customer or visitor experiences and improving Our products and/or services.
  • You are responsible for any information that You publish in public forums. Please be aware that personal information submitted in such forums will be visible to others.

Other ways that we may use our Customers’ PII, network-related, or sensitive information

  • As a customer using Our products and/or services, We may also send administrative information to You regarding Our products and/or services, Your subscription purchases and software licensing, or information related to customer support.  Please contact Our customer support team if you wish to change the email address that we have on record for you.
  • As part of the support services that We provide to VisitBase customers, We may be required to assist with configuring some components of Your network, including some modem or router settings (e.g. port forwarding), and network connection settings on Your devices.  
  • Some network settings (e.g. IP addresses of Your host/server computer and modem/router) may be required by Us to enable You to access VisitBase via a ‘host address’.  This host address may be used by Us, as part of Our support services, to:

  1. install a third-party verified SSL certificate on Your server for enhanced security, or
  2. determine if VisitBase data files are available to You on Your host/server computer (e.g. in response to reported problems with accessing or opening VisitBase), or
  3. in some cases, to determine the exact version of VisitBase that is currently available to You (e.g. to assist with troubleshooting version-related issues).

  • Our customer support team will not open Your copy of VisitBase for any reason other than making a software update available to You, or to test the integrity of a backup file (in the case of Our cloud-hosted customers), or to troubleshoot an issue that You report directly to Us.
  • In the process of providing support services to Our customers, We may come across sensitive information related to You or Your business, or sensitive information related to Your customers (e.g. patient information).  This information is treated with complete confidentiality
  • Subaccounts created by Us on Your behalf, for the purpose of integrating with third-party services (e.g. smscentral accounts), may be accessed by us for account management purposes only, or for troubleshooting issues related to this service on your behalf.  This may involve the viewing of action, transaction, or message logs when required, and viewing or editing of rules (e.g. message forwarding rules).

Protection of PII

NHG Solutions takes measures to safeguard your personal information against loss, theft, misuse, unauthorised access, disclosure and inaccuracies.

We use Secure Sockets Layer (SSL) encryption on all of our web pages where you may enter your personal information (e.g. enquiry forms), and in the databases that we store your personal information in.  These databases and backups are also stored on encrypted volumes.

Third-Party Sites

Websites belonging to NHG Solutions, or emails sent by NHG Solutions to You, may provide links to third-party websites that are deemed relevant to our products or services.  Information collected by third parties and their websites is governed by their own privacy policies.
